Job Summary

This position manages all incoming calls and emails to service from external as well as internal customers to determine their priority, schedule and respond accordingly. This position will require you to communicate any changes in schedule to the client immediately and have constant communication with the technicians and Field Managers as well as the Account Managers.

Essential Job Functions

• Determine which service technician can be dispatched according to client requests, specifications or needs

• Create work orders and services sites to add to the dispatch board

• Relay work orders, messages or information to service technicians and Field Managers

• Inform clients of any schedule changes or delays

• Share knowledge or problematic issues with dispatch supervisor or service supervisors

• Manage the dispatch board, always accounting for all personnel and ensure the technician’s daily routes make sense

• Maintain the Service E-mail address for incoming work requests, estimates, and billings

• Respond to the base Cell Phone incoming calls and text messages in a timely manner

• Maintain the dispatch system, coordination of all paperwork associated with the service call, proper filing and distribution of information

• Manage and schedule the preventative maintenance work orders in a timely manner

• Review the on-call sheet daily for potential emergency and normal services. Reach out to technicians and clients when necessary.

• Obtain payment for the deposit to schedule any residential, non-account customers

• Assist in contacting customers to collect payment when the technician failed to do so at the end of the service

• Make decisions as necessary within the realm of knowledge and responsibility

• Participate in continuous improvement of self-skills, processes, procedures and methods to deliver exceptional client services

• Work within the guidelines of the safety and employee policy

• Regular and predictable attendance is expected in order to meet the requirements of this position

• Other duties as assigned

 

Qualifications

• High school graduate/GED required

• Preferred 0-1+ years of dispatch experience in a high paced environment, ability to manage multiple calls at once

• Proficient in Microsoft Office Suite

• Solid problem analysis, detailed oriented and problem-solving skills

• Effective communication with people at different levels
